Rental Agreement

  1. A 40%  non-refundable booking deposit is required on all orders. Visa, MasterCard or American Express number required as security on all orders.
  2. READ your rental agreement/invoice carefully, check that the dates and times of set-up and teardown are correct. Be sure to read the conditions on the back of the agreement, and call us if you have any questions.
  3. Make sure the delivery driver has clear access to parking area, loading dock, driveway etc.
  4. Arrange to have someone meet the delivery crew, to instruct them on where the equipment goes, sign for the items delivered.
  5. Have your payment ready to pay the delivery driver. Our drivers accept cash or cheques. If you wish to pay by VISA , MasterCard, American Express or EMT, simply notify our office prior to delivery and the driver will bring the appropriate slip.
  6. Quoted prices are based on delivery to an accessible location. Additional charges apply for delivering upstairs and manually transporting equipment (based on distance). Our drivers are on a schedule, and will be happy to accommodate you with a difficult access delivery, PROVIDED you make arrangements with our office in advance.
  7. All items signed for upon delivery, should be stacked and ready for pickup on the date and time shown on your rental agreement. Additional charges will apply for return trips, missing items and damaged rental items.
  8. A 15% Drill and Fee will apply for all asphalt, concrete and stone tent set-ups! The holes will be filled upon teardown of tent.
  9. Deposits are NON-REFUNDABLE!
  10. Before we deliver any rental items you must have a minimum order of $ 200.00 and if the amount is lower than the $ 200.00 you must pick-up rental items or a additional delivery fee will apply.
  11. All prices that are quoted are for set-up ONLY in the Windsor area. If your event is out of that district a additional travel fee will apply.
  12. If you require a special drop off or pick up time an out of the district and additional fee could apply.
  13. Special Events and Tents is NOT responsible for locates (hydro, gas, telephone or any other underground wiring) If you require locates please contact www.on1call.com to arrange locates. If no locates are done by client and underground wiring is hit by our large steel stakes Special Events and Tents is NOT responsible for ANY repairs or damages!

    **IMPORTANT** Please contact Ontario One Call to locate underground utilities prior to tent installation. This is a free service. Find them on the web at http://www.on1call.com/ or Phone 1-800-400-2255. Allow at least five working days notice. It is your responsibility to mark the location of any irrigation lines or septic fields on your property that we should be aware of before our set-up crew arrives. We are not responsible for any damages to irrigation lines or septic field. You are also required to obtain any permits that may be needed for your event. Please plan ahead and ask for advice if you are not sure.

  15. Free Standing Tent Rentals

    How are they held down?

    All of our tents must be anchored securely in the ground or, in the case of some of our smaller tents, when “in-ground” anchoring isn’t possible, using our larger cement weights for larger tents and water barrells for smaller tents. PLEASE NOTE: to maintain the safety and structural integrity of the tent, when installed using weights or water barrells, sidewalls cannot be used.

    How much space is needed around perimeter of tent for ropes?

    An additional 1-3’ of space around the perimeter of the tent is required for the ropes to be securely anchored.

    How do I know what size tent will fit in my yard?

    If you are unsure of the tent size that will fit best, we offer site visits absolutely FREE! Frank will come to the location and measure the space to confirm what tent size will work for you and offer you a on site quotation immediately.

Tent Terminology

 

Party Canopy: A lightweight covering designed to shelter against the sun or light rain; usually supplied as an inexpensive do-it-yourself tent rental. Includes one or more centerpoles.
Pop-up Canopy: A small, lightweight, collapsible frame canopy with a fabric covering. Provides shelter and protection from light rain and usually provided as a do-it-yourself rental tent which may be erected and removed quickly.
Frame Tent: A professionally installed party tent consisting of a canvas or vinyl top stretched over a metal frame and containing NO centerpoles.
Pole Tent: A heavy duty party tent made of canvas or vinyl supported by poles around the perimeter and in the center. Pole tents must be installed by professionals and will shelter against most bad weather.
Marqué: A long, narrow tent structure used mainly for sheltering walkways or defining an entry to a tent.

Used Inventory

We are constantly expanding our inventory with new products. So to make room we sell off our used inventory at bargain prices. For our tent division (Special Events and Tents) our tent sizes start at 10' x 10' and all sizes in between and go up to a 60' x 110'. Some of the tents used have been used 1 or 2 seasons at the most. All the tents are in good condition and most of them are ("B" grade, no holes, patches or tears.) The prices are excellent and all tents include the side poles, stakes, and rope. Tent walls are extra (designer window or solid) and are sold separately. We also have chairs, tables (all sizes) and accessories. For our Audio and Lighting Division (Affordable Sound Systems/Frank's DJ Services) we sell a big amount of our used sound and lighting such as: mixers (sound boards and DJ Mixers), powered amplifiers cd players (dual or single), speakers (large and small), microphones and all accessories. We have a huge stock of Karaoke CDG discs and Karaoke machines all at disount prices.
